SMS Terms & Conditions
Effective 1 September 2026 · Last updated 1 September 2026
These terms govern text messages sent by Desk Pilot, both on our own behalf and on behalf of the healthcare practices and professional firms we work for. By giving consent to receive text messages, you agree to these terms.
1. Two separate messaging programs
Desk Pilot is involved in text messaging in two distinct ways. They are registered separately with the mobile carriers, and the sender is different in each.
Messages from Desk Pilot, to Desk Pilot’s own clients
If you are a practice or firm that has enquired with us, we may text you about:
- Your enquiry and your consultation booking
- Onboarding steps and information we need from you
- Service and account notifications
- Marketing messages about webinars, offers and product news — only if you gave the separate marketing consent
These messages come from Desk Pilot, under the Desk Pilot brand and our own carrier registration.
Messages sent on behalf of a client practice
Where a practice engages us to handle its front desk, we send messages to that practice’s patients in the practice’s name, from the practice’s own messaging account, under the practice’s own carrier registration. Each client is set up and registered individually. Those messages are transactional and relate to care and scheduling:
- Responses to enquiries and new-patient requests
- Appointment scheduling, confirmations and changes
- Appointment reminders
- Follow-up on missed calls, missed appointments and outstanding requests
For those messages the practice is the sender of record. Its own terms and privacy notice govern them, and questions about your care, your appointment or your records should go to the practice directly.
2. How consent is obtained
We send text messages only to people who have given prior express consent to receive them.
- Desk Pilot’s own clients. Consent is collected on our website when you book a consultation. The booking form carries two separate consent boxes, neither of them pre-selected: one for messages about your enquiry, your consultation and your account, and a second, independent one for marketing messages about webinars, offers and product news. Ticking one does not tick the other, and you can submit the form without ticking either.
- Patients of a client practice. Consent is collected by the practice at the point the relationship begins — on a new-patient or intake form, on an appointment request or booking form, or verbally during a call, which the practice then documents in its record. The practice obtains, holds and is responsible for that consent, and instructs us to message only those people who have given it.
Consent to receive text messages is always optional. It is never a condition of purchasing any goods or services, and never a condition of receiving care or booking an appointment. You may decline text messages and still be contacted by phone or email.
You must be 18 years of age or older to consent to receive text messages from us. We do not knowingly send text messages to anyone under 18. If you believe someone under 18 has been enrolled, contact us and we will remove the number.
3. Message frequency
Message frequency varies and depends on your activity. Appointment-related messaging is typically between one and six messages per appointment or enquiry. Marketing messages are sent only to people who gave the separate marketing consent, and are typically no more than four per month. If you did not give that consent, you will receive none.
4. Cost
Desk Pilot does not charge you for these messages. Message and data rates may apply under your plan with your mobile carrier. Contact your carrier if you are unsure of your plan’s charges.
5. How to stop messages
You can cancel at any time. Simply reply STOP to the number the message came from. You may also reply with QUIT, END, CANCEL, UNSUBSCRIBE or REVOKE.
After you send STOP, we will send one final message confirming that you have been unsubscribed, and you will receive no further text messages from that program. If you want to rejoin later, sign up again the same way you did originally, or ask the practice to re-enrol you.
Opting out of text messages does not opt you out of phone calls or email, and does not affect your care or your account. To stop those as well, contact us or the practice directly.
6. How to get help
Reply HELP to any message for assistance, or reply INFO. You can also reach us directly:
- Email: sales@deskpilot360.com
- Phone: 623-294-9505
If your question is about your care, your appointment or your records, contact the practice that treats you — they hold your records and can help fastest.
7. Carriers and delivery
Message delivery depends on your mobile carrier’s network and is not guaranteed. Carriers are not liable for delayed or undelivered messages. Supported carriers include AT&T, Verizon Wireless, T-Mobile, US Cellular, and most other US carriers. Carrier support may change without notice, and carriers are not required to support this program.
8. Your information
No mobile information will be sold, shared, rented, released or traded with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third party.
We share your mobile number with our messaging platform and carriers only as strictly necessary to deliver the messages you have consented to receive. Our full Privacy Policy explains what we collect and how we use it. Where the messages relate to your care, the information is also protected under HIPAA and the practice’s Business Associate Agreement with us — see our HIPAA and Security Statement.
9. Changes to these terms
We may update these terms from time to time. The “last updated” date above shows when they last changed. Continued participation after a change means you accept the updated terms.
